This Privacy Policy explains how SoloCrew (“SoloCrew”, “we”, “us”, or “our”) collects, uses, shares, and protects information when you visit our website or use our services (collectively, the “Service”). By accessing or using the Service, you agree to this Policy.
1. Information We Collect
We collect the following categories of information:
- Account information— your email address and any details you provide when you join a waitlist, create an account, or contact us.
- Content you submit— project notes, uploaded documents, URLs, and any other materials you provide when using SoloCrew features.
- Usage data— pages viewed, features used, referring URL, approximate location, device type, browser, and similar technical signals.
- Cookies and similar technologies— small data files stored on your device for session management, preference storage, and analytics.
2. How We Use Your Information
We use the information we collect to:
- Operate, maintain, and improve the Service;
- Provide the diagnostics, analyses, and outputs you request;
- Communicate with you about your account, product updates, and operational notices;
- Detect, investigate, and prevent fraud, abuse, and security incidents;
- Comply with legal obligations.
3. Cookies
We use cookies and similar technologies for essential functionality (such as preserving your locale and session) and to measure how the Service is used. You can control cookies through your browser settings; disabling them may affect parts of the Service.
4. Third Parties
We use trusted third-party providers to host, secure, and operate the Service (for example, infrastructure, email delivery, error monitoring, and analytics). These providers are bound by contractual confidentiality and security obligations and process data only on our instructions. We do not sell your personal information.
Submitted content may be processed by third-party AI model providers to generate the outputs you request. We minimise what is sent and do not use your content to train models without your explicit consent.
5. Google User Data (Gmail)
If you choose to connect your Gmail account, SoloCrew requests the following OAuth scopes — and only after you grant them on Google’s consent screen:
- gmail.send— to send outreach emails you have reviewed and approved message-by-message. SoloCrew never sends without your explicit per-message approval.
- gmail.readonly— requested only when you turn on the optional Daily Brief. It is used solely to read your recent inbox messages and generate a private morning summary for you. It is off by default.
SoloCrew’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the features you connect it to (sending approved outreach and generating your Daily Brief); it is not sold, not used for advertising, and not used to train generalised AI/ML models. Humans do not read your Gmail data except where you explicitly request support, as required for security or to comply with law, or in aggregated/anonymised form. OAuth tokens are encrypted at rest, and you can disconnect at any time from the Connectors page or revoke access in your Google Account, which deletes the stored tokens.
6. Data Retention
We retain personal information for as long as your account is active, as needed to provide the Service, and as required to comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed we delete or anonymise it.
7. Your Rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information; to object to or restrict certain processing; and to withdraw consent. To exercise any of these rights, contact us at the address below.
8. Security
We use industry-standard administrative, technical, and physical safeguards to protect your information. No method of transmission over the internet is fully secure, so we cannot guarantee absolute security.
9. International Transfers
SoloCrew is operated from Hong Kong and uses providers located in other jurisdictions. By using the Service, you understand that your information may be processed in countries other than your own.
10. Children
The Service is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect information from children.
11. Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you by other means.
